PTO Positions
The position of PTO President may be a shared co-position with two persons designated as Co-Presidents. The duties of the position shall include but are not limited to the following:
- preside at all meetings of the PTO of TAOTS;
- is an ex-officio member of all committees except the nominating committee;
- appoint PTO of TAOTS committee chairpersons with the approval of the executive board;
- encourage meaningful participation in all parent and school activities;
- provide opportunities for members’ leadership development;
- delegate responsibilities to members of the PTO of TAOTS as needed;
- attend all regular meetings of the presidents’ council;
- is a mandatory member of the School Leadership Team[1];
- meet regularly with the executive board members;
- plan the agendas for the general membership meetings,
- is one of the eligible signatories on checks; and
- assist with the June transfer of PTO of TAOTS records, including all pertinent user ids and passwords, to the incoming executive
[1] Co-presidents must determine who will serve on the SLT and who will attend President Council meetings.
The duties of the recording secretary shall include but are not limited to the following:
- record minutes at all PTO of TAOTS meetings;
- prepare notices, agendas, sign-in sheets and materials for distribution;
- prepare and read the minutes at PTO of TAOTS meetings;
- distribute copies of the minutes for review and approval by the general membership;
- maintain the custody of the PTO of TAOTS’s records on school premises;
- incorporate all amendments into the bylaws, and;
- ensure that signed copies of the bylaws with the latest amendments are on file in the principal’s office; and
- assist with the June transfer of PTO of TAOTS records, including all pertinent user ids and passwords, to the incoming executive
The duties of the treasurer shall include but are not limited to the following:
- responsible for all financial affairs and funds of the PTO of TAOTS;
- maintain an updated record of all income and expenditures on school premises;
- is one of the signatories on checks;
- adhere to and implement all financial procedures established by the PTO of TAOTS;
- prepare and present a written report of all transactions at every executive board and general membership meeting (which includes income, refunds, reimbursements and other expenditures, and opening and closing balances for the reporting period);
- prepare the PTO of TAOTS’s interim and annual financial reports;
- make available all books and financial records for viewing by members upon request and for audit;
- shall assist with the annual filing of required reports with the IRS and NYS Tax Authorities; and assist with the June transfer of PTO of TAOTS records, including all pertinent user ids and passwords, to the incoming executive board.
The duties of the vice president shall include but are not limited to the following:
- assist the Co-Presidents and shall assume the Co-Presidents’ duties in their absence or at the President’s request;
- assist with efforts to engage parents as volunteers;
- coordinate parent volunteer availability and duties prior to events;
- in charge of community affairs, such as the coordination of building-wide events where the three schools are involved;
- maintain records or a database of school-wide volunteers and make these records and/or database available to all fundraising and event chairs and other members of the PTO of TAOTS as necessary; and
- assist with the June transfer of PTO of TAOTS records, including all pertinent user ids and passwords, to the incoming executive
The duties of the corresponding secretary shall include but are not limited to the following:
- coordinate duplication and distribution of all correspondence for the organization;
- assist with all mailing needs of the organization;
- may be responsible for reviewing, maintaining and responding to all correspondence addressed to the PTO of TAOTS;
- assume the duties of recording secretary in their absence or at the President’s request;
- assist with the annual filing of required reports with the IRS and NYS Tax Authorities; and
- assist with the June transfer of all PTO of TAOTS correspondence to the incoming executive board.
The position of fundraising secretary may be a shared co-position with two persons. The duties of the position shall include but are not limited to the following:
- coordinate special events and sales;
- coordinate the annual gala, book sales, picture day, and any other fundraiser that the organization decides to hold, and;
- encourage meaningful participation in all school activities and events; and
- assist with the June transfer of PTO of TAOTS records, including all pertinent user ids and passwords, to the incoming executive
The position of communication secretary may be a shared co-position with two persons. The duties of the position shall include but are not limited to the following:
- prepare and distribute paper and electronic notices of all PTO of TAOTS meetings and other PTO of TAOTS communications to the Membership;
- oversee the PTO of TAOTS’ efforts to share information with school families and to publish written materials; and
- assist with the June transfer of PTO of TAOTS records, including all pertinent user ids and passwords, to the incoming executive
The duties of technology secretary shall include but are not limited to the following:
- ensure the maintenance and updating of the PTO of TAOTS’ website and the appropriate use of e-mail systems for communication with the parent body;
- assist with the creation and maintenance of online forms, event tickets, electronic payment and online school store;
- oversee integration of other related technology to ensure access and data security; and
- assist with the June transfer of PTO of TAOTS records, including all pertinent user ids and passwords, to the incoming executive
The duties of the assistant treasurer shall include but are not limited to the following:
- assist the Treasurer with any and/or all of her/his duties, and shall be one of the signatories on the checks;
- assume the duties of Treasurer in their absence or at the President’s request;
- assist with the annual filing of required reports with the IRS and NYS Tax Authorities; and
- assist with the June transfer of PTO of TAOTS records, including all pertinent user ids and passwords, to the incoming executive
